1. Set Up New Users
You should now identify team members that will need access to Class and make sure they have appropriate access. For further instructions on how to set up a new user click here Maintain Users.
A second Access Controller will allow another member of the team the ability to set up new users when you are away. Please contact your Implementation Consultant or Support if any additional Access Controllers need to be set up for your business.
2. Configure Business Settings
Before we can start loading funds onto the system you will need to configure the business settings to ensure funds transitioned inherit the settings that you have chosen. The settings you pick will reflect the accounting policies and practices applicable to your business.
Please go to Settings > Fund defaults to configure your settings now. Please refer to this page Business - Settings for further clarification on the settings.
Note: Any setting at a Business level can be overridden by a setting at a Fund level. It is important to note that the settings only impact funds when they are loaded onto Class, changing the settings later will not affect funds already loaded.
3. Set Up Business Contacts
Please read through the Business - Business contacts help page as you will now set up contacts for your business.
These are some of the key contacts that you should be setting up at this stage:
• Auditor
• Auditing Firm
• Tax Agent (Organisation) – to be set up when tax agent lodging the income tax return is an entity
• Tax Agent (People) – individual(s) authorised to sign on behalf of the organisation
• Accountant/Bookkeeper – pre-populates the compilation report
The contacts you set up could also be set as a default relationship for your business if required. The funds loaded onto Class will automatically inherit these default relationships.
It is quite common to have more than one contact with the same role; the contact that is associated with most your funds should be set as the default contact.
4. Training
We offer complimentary training modules for all registered Class users. Class Fundamentals is compulsory for all new users and Access Controllers should also complete Business Settings and Business Contacts before the scheduled Implementation Meeting. New Funds and portfolios on Class is also required training if you are loading your own funds. If you haven’t seen a demo of Class, you can watch this video before starting your first training module.
It is highly recommended you select a team member to complete all 8 modules. The Class master user can also be relied upon to answer questions internally before queries are referred to Class Support.
You can access the online training modules at https://training.class.com.au/
5. Transitioning Funds
The first thing you should do is have a look at our Planning Your Transition page. You have also been granted access to Class Transitions Management System (TMS). TMS allows you to securely transfer your current fund data to our transitions team.
Please click here Transitioning to Class for help on using TMS.
To review the relevant source system instructions and data/report requirements go to Data Checklists.
If you would like to add your own funds instead, you can do so using the Excel Fund Loader. Please be sure to ask us if you have any questions in regards to the transitions process. Module 6 training is a pre-requisite if you are loading your own funds.
